My privacy policy outlines how I collect, store and process your personal information.
How I collect your personal data
• Information that you provide by contacting me via email, phone, and via therapy directories and platforms (e.g. BACP Therapist Directory).
• A questionnaire, if relevant.
• Counselling contract.
• Brief session notes.
• For online therapy, I use the platforms Google Meet and Zoom, which are securely encrypted. Sessions are not recorded.
How I securely store your personal data
• Electronic documents such as questionnaires, contracts, your contact details, and brief session notes, will be stored online on a secure server and offline on a passcode-protected computer.
• Brief session notes are also password-protected and anonymised, using initials or a pseudonym
• I use a secure digital service for email communications
How I use your data
• I use your contact details to communicate with you about my service, including contacting you about appointments and for any administrative reasons.
• I use the contract as a record of our agreement.
• I use questionnaires and brief session notes in order to support me in offering you therapy, to carry out my obligations arising from the agreement between us, and for record keeping and insurance purposes.
• I am committed to working according to the BACP Ethical Framework. As stipulated by the guidelines, I attend supervision sessions regularly, during which I may refer back to brief session notes. Supervision sessions are also bound by confidentiality.
How long I keep your data
• Text messages and emails are kept for the duration of our work together. After therapy has finished, your phone number and text messages will be deleted from my phone, and emails will be deleted after seven years.
• I will retain your questionnaire and brief session notes for as long as we are working together. After therapy has finished, I will retain these documents for a further seven years. When this period of time has passed, the documents will be destroyed.
Your rights
• You are entitled to view, amend, or delete the personal information that I hold. All requests will be carried out within one month.
In the event of a data breach
• I have a legal obligation to report a data breach to you and the Information Commissioner’s Office (ICO) within 72 hours.
Disclosure of your personal information
• In the event of my incapacity or death, your personal contact information will be disclosed to a clinical executor of my professional will so that they can notify you. In the event of my death, my clinical executor(s) will also destroy contact information and notes on my computer.
• In rare circumstances, I may be required to disclose or share your personal data in order to comply with legal and ethical obligations. This may include situations where I am required to do so by law or by a court order, or where disclosure is necessary for reasons such as the prevention of serious harm, safeguarding children or vulnerable adults, or compliance with legislation relating to terrorism or money laundering.
Changes
I will notify you of any significant changes I may make to this privacy policy in the future.
